# Managing Real-time Mention Notifications

Learn how to effectively manage and customize your real-time notifications for podcast mentions in Podscan. This guide covers all aspects of notification setup and optimization.

## Overview

Podscan's notification system allows you to:

- Receive instant alerts for new mentions
- Get daily/weekly summaries
- Integrate with external systems
- Manage notification volume

## Notification Types

### 1. Instant Email Notifications
- Sent immediately when mentions are found
- Include transcript excerpts with timestamps
- Limited to 10 emails per hour. Maximum of 25 emails per day. If you hit these limits, don't worry. Your mentions are still being found.

### 2. Summary Emails
- Daily rollup of your mentions
- Organized by alert and podcast
- Include highlight snippets
- Lists the first 25 mentions. You'll find everything else on Podscan.fm and, if enabled, in the CSV data

### 3. Webhook Notifications
- Real-time JSON payloads
- Complete mention data
- Timestamp information
- Episode and podcast metadata

## Configuration Steps

### Setting Up Email Notifications

1. Navigate to Alert Settings
2. Enable "Send notification emails"
3. Add your email address(es)
4. Choose notification frequency
5. Optional: Enable CSV attachments for summary emails

### Configuring Summary Digests

1. Enable "Send summary emails"
2. Select summary interval (Daily)

### Managing Volume Limits

To stay within the 10/hour and 25/day limits:
- Prioritize critical alerts
- Use summary digests for lower-priority mentions
- Implement webhook integration for high-volume monitoring

Our volume limits are in place to prevent Podscan from spamming your email folders. They can be customized by our admins on a per-team basis.

## Best Practices

1. **Email Management**
   - Use dedicated email addresses
   - Set up email filters
   - Create separate folders for mentions

2. **Notification Strategy**
   - High-priority: Instant notifications
   - Medium-priority: Daily summaries
   - Low-priority: Weekly digests

## Troubleshooting

Common notification issues:
- Missing notifications: Check spam folders and limits
- Delayed notifications: Verify webhook endpoint performance
- Duplicate notifications: Review team settings, and check for. duplicate alerts. Disable all but one.
